Garry, we have a single waterproof binder with:

o all ships vital information including tonnage, dimensions critical
numbers etc. Where applicable these are in Metric and Imperial
measure.

o certificate of registry including several reduced size copies.

o dinghy and outboard registration or certificate of ownership.

o EPIRB registration.

o Notarized letter of ownership (we registered the boat in an
offshore limited company of which we are the sole owners).

o ZARP or exit papers from last port of call.

o copies of our passports, original passport should contain entry
stamps and any required VISA.

o copies of our International Certificate Of Vaccination.

o Builders Certificate.

o Proof of Liability Insurance (required in many countries and
marinas).

o Ships Station Radio License.

o Marine Radio Operators License.

o Ships Marking and Carving Certificate.

o Survey from Bureau Veritas.

o Customs Pass for European VAT.

o Amateur Radio License.

o Reciprocal Amateur Radio License.

o Waste Management Plan (ridiculous but required by US Coast Guard).

o Series Construction Certificate (Lloyds All Ocean 100A).

o Crew List.

o When required by local customs we also include a ships inventory.
This is largely covered by the statement "Normal Ships Stores" but
some countries variously require specificities on meat, booze and
spirits, drugs of all kinds not just the illegal ones, guns, etc.
With the exception of guns and illegal drugs most of these depend on
the country and the customs officer. British and French former
colonies are the worst for detail, former Spanish and Dutch the
least worried and American the most ridiculous.

We have at times been asked for any combination of the above. We
also carry a smile and a friendly attitude which seems to help.
There is also a great little book for sailors with 10 language
translations for everything you will need or ask for in most
countries. When visiting Customs and Immigration we clean up and
dress in something other than our grubs. My experience with Customs
Officials the world over is they want you to be quite and
deferential. Hope this helps.
